1. Who we are
This policy explains how Vaydor Jarvis, trading as Vaydor Jarvis Landscaping & Garden Design, a self-employed sole trader based at 4 Ger-Y-Bont, Aberdare, Rhondda Cynon Taf, CF44 9EG, United Kingdom (“we”, “us”) collects and uses personal data. We are the data controller for personal data collected through this website and in the course of providing our services.
Contact: vaydor_jarvis@outlook.com, 07828 747303, or by post to the address above.
2. The personal data we collect
- Enquiries and quote requests: your name, email address, phone number, town or postcode, details about your property and garden, the services you're interested in, your timing and budget, and anything else you choose to tell us.
- Orders and payments: when you pay online, Stripe collects your name, email address, billing address, phone number, payment details and any order notes. We receive confirmation of the payment and your contact details, but not your full card number.
- Project information: your property address, photographs and measurements of your garden, design preferences, and records of our correspondence and quotations.
- Technical data: our hosting provider automatically processes information such as your IP address and browser type to deliver the website and keep it secure.
3. How and why we use it
We use personal data only where UK data protection law (UK GDPR and the Data Protection Act 2018) gives us a lawful basis:
- To respond to enquiries and prepare quotations — taking steps at your request before entering into a contract.
- To provide the services you order, take payment and manage your project — performance of a contract.
- To keep accounting and tax records — compliance with our legal obligations.
- To run and protect our business, for example keeping records of correspondence, handling complaints or legal claims, and filtering spam — our legitimate interests, balanced against your rights.
We do not sell your data and we do not send marketing emails. We do not use automated decision-making or profiling.
4. Who we share it with
We use trusted service providers who process data on our behalf or alongside us:
- Netlify, Inc. — hosts this website and receives form submissions.
- Stripe Payments UK Ltd and its group companies — process online payments. Stripe also acts as an independent controller for some data, for example to prevent fraud and meet its own legal obligations. See Stripe's privacy policy.
- Microsoft — provides our email service.
- Google — delivers the fonts used on this website, which means your browser connects to Google's servers and shares your IP address.
We may also share data with our accountant, with HMRC where the law requires it, or with professional advisers if needed to deal with a dispute.
5. International transfers
Some of our providers process data outside the UK, including in the United States. Where this happens, the transfer is protected by an adequacy decision (such as the UK Extension to the EU–US Data Privacy Framework) or by appropriate safeguards such as the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
- Enquiries that don't lead to work: up to 12 months after our last contact.
- Customer, quotation and payment records: for as long as HMRC requires us to keep business records — at least 5 years after the 31 January submission deadline of the relevant tax year — and for up to 6 years after a project ends so we can deal with any claims.
- Garden photographs you send us: until your project ends, unless you agree that we may keep them longer, for example for our gallery.
7. Cookies
This website does not use analytics, advertising or tracking cookies. If you pay online, Stripe's checkout pages use cookies that are necessary for payments and fraud prevention; these are set by Stripe on its own website.
8. Your rights
You have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate data or complete incomplete data;
- ask us to delete your data, where we no longer have a good reason to keep it;
- ask us to restrict how we use your data, or object to our use of it based on legitimate interests;
- receive data you gave us in a portable format, where processing is based on contract;
- withdraw any consent you have given, at any time.
To exercise these rights, contact us using the details in section 1. We will respond within one month. There is normally no charge.
9. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
